Shopify Flow workflow
Create a ShopTasks task when a Shopify refund needs a person
Refunds in Shopify can be a money movement. The operational follow-through — restock, damaged return, customer explanation — still needs an owner.
- When
Refund created
- If
- Always, if every refund needs an ops check, or
- Only above an amount, or when the order is tagged for investigation
- Then
Create ShopTasks task: Review refund for order #{{order.name}}
Confirm restock, inspect a return if required, and close the loop with the customer if the refund was only the first step.
- Assign
Support or operations
- Outcome
Refunds that need warehouse or support follow-up are assigned immediately, instead of living as a timeline event nobody owns.
Why this workflow exists
Issuing the refund is often the easy part. Restocking the right SKU, checking a damaged return, or explaining a partial refund is where work is forgotten. Flow fires when the refund exists. ShopTasks holds the rest.
How to set it up
- Not every refund needs a task. Skip automatic store-credit-only refunds if they require no human step.
- If returns are processed in another app, trigger from the Shopify refund still — then put 'check return status' in the task.
- ShopTasks automation policies also include a refund-ownership template. Choose Flow or policies so you do not duplicate tasks.
- Assign warehouse when the next step is physical; assign support when the next step is the customer.
FAQ
Does ShopTasks process the refund?
No. Shopify (or your returns app) processes the refund. ShopTasks assigns any human follow-up that remains.
What about refunds created in bulk?
Each refund can create a task. If you process bulk goodwill refunds that need no follow-up, add a condition so those do not open tasks.
